Dear Project Organiser

Here are our instructions for running the project

We have found that for the project to be most effective, it is important to get all the teachers and staff on side. Give staff as much notice as possible especially if you think that they may want to include it as part of their lesson plans.

1. Please fill in the Registration Form and return it to us. Provide all of the information at the beginning of the project to avoid delays.

2. As soon as we receive your Registration Form we will send you a Project Pack. This comprises of:

One plastic wallet for each class you have registered.
There are enough templates with instructions on the reverse for the artists to use. Please draw the instructions to the attention of the children and consider writing their names for them.
Spare templates.

3. Hand out the wallets to your Class Teacher''s and make sure that they are aware of the schedule you are working towards.

4. Advertise the project throughout the school.Edit the letter that is attached to the Order Form and email/post/fax it back to us.Confirm how the project is going to be run in your school with the appropriate people e.g:Wet playtime projectHomework projectAn art class Included in part of the curriculum

5. Ask your teachers to give out the templates the children create their designs. We have found that the involvement and support of teachers often lead to the most successful projects.

6. Provide us with your school logo either electronic or a good quality hard copy.

7. Class teachers gather all the artwork in.

8. Collect all the original artwork from participating classes.Check that the name on each piece of artwork is legible and correct (forename and then surname) this is how it will appear on the finished cards.You will also need to provide us with a typed copy of each class list this can be emailed at the same time as posting the artwork and a copy should be included in each class wallet.Please post the art work to us by the date agreed (we work on a first come, first served basis).

9. We will produce and post back to you one copy of each child''s card with a copy of your letter to parents and an order form.

10. Please give the wallets containing the sample cards and order forms to your class teachers to distribute to parents. The card is for each child to keep for themselves. There is space on each order form to make corrections where necessary.

11. Collect in the Order Forms by the agreed date.

12. Collate the orders and any corrections onto the spreadsheet we will email to you, or return the order forms to us by post, having first checked that all the payments have been made.Please note that you are responsible for all monies and we invoice you at the end of the project for the packs of cards that we have printed.

13. At this point, before you have given in your orders please check the reverse of the cards to ensure that the generic information is correct.

14. We will print and dispatch your order to you, we will return the cards to your school via courier who usually attempt to deliver twice. A signature is required for delivery.

15. Distribute orders to classes. Each class''s orders will be separated but not necessarily in separate boxes. You will need additional help to divide up and give out orders.

16. We aim to have all our deliveries complete for the first week in December. If you wish to receive your orders before this, you need to choose one of the earlier dates to get your orders in by.

17. We will invoice you. Please remit within 10 working days.

Late and additional orders can be submitted however main orders will be given priority.
